Ticket Operations Manager

["• Oversee box office operations for the Center for the Arts and its satellite performance spaces as well as the Slee Concert Hall. Duties include daily sales, seating control and inventory, and preparation/reconciliation/authorization of deposits of box office receipts for transfer to the business office. \r\n• Daily communication with ticketfly.com regarding event set ups.\r\n• Maintain records necessary in using credit card and cash sales, including records of daily deposits. Authorize & coordinate processing of refunds, exchanges, and any customer service issues. Monitor returned checks & ensure timely follow-up.\r\n• Prepare, verify and distribute box office activity reports to authorized staff and user groups, including daily ticket sales. Record sales records for every ticket show post-event.\r\n• Oversee and provide support for student staff. Hire, train, and supervise student staff. Create and manage student assistant schedules. Review and approve student time sheets.\r\n• Sell tickets at the customer window as needed. Resolve customer service issues, dealing with customer complaints and problems (in-person, phone, email). Maintain service standards for box office operations and customer interface. Develop methods to evaluate and improve operations.\r\n• Will be required to work all events that require a check hand off/settlement in conjunction with Business Manager and Assistant Director.", "• Manage and operate computerized ticketing systems (including but not limited to ticketfly.com) including daily inventory changes, responding to user groups for ticket holds, releases, price changes, and discounts.\r\n• Perform complete ticket builds of single events, event runs, seasons, etc. in ticketfly.com for the Center for the Arts and Slee Concert Hall.\r\n• Print all will call for events.\r\n• Issue tickets via trade with University Athletics.\r\n• Fulfill pre-sale ticket requests for a variety of dance companies during dance season (mid May to mid June). \r\n• Contribute and assist in maintaining software and database updates for the box office. Ensure the daily physical readiness of the Box Office facility and equipment.", "• Complete and maintain financial records including daily deposits, summaries, show settlement reports and audits. Maintain timely deposits from box office receipts and ticket agency receipts from weekly payments. Communicate with UB Foundation and banks regarding deposits. Maintain box office bank. \r\n• Ensure delivery of forms/documents (time sheets, DRs, check requests, etc. to appropriate central business office and/or UBF.\r\n• Perform daily financial reconciliation of sales via Global Payments / Amex.\r\n• Issue check requests for weekly ticketfly.com payments.\r\n• Create new vendors for artists fee checks.\r\n• Submit settlements for non-ticketed events in the building.\r\n• Issue invoices for on-campus ticket requests.\r\n• Maintain internal controls to ensure accuracy of recordkeeping and adhere to internal audit guidelines and recommendations.", "• Provide box office services to groups including ticket holds and/or releases, payment arrangements, ticket pulls and/or returns, and communication regarding parking, directions, workshops, tours, concessions, building accessibility, and other special services for groups. \r\n• Set up fan club pre-sale opportunities for a variety of on-sales.\r\n• Fulfill orders for the Office of Special Events for Distinguished Speaker Series shows hosted at the CFA.\r\n• Work with Marketing staff to develop and maintain a customer database. Pull lists for marketing purposes. Emphasize with the box office staff the need to generate mailing lists by capturing and recording names and addresses of patrons. Assure the dissemination of accurate event information through the box office.\r\n• Assist Marketing and Development with data collection, database entry, event mailings, web research.", "• Act as point person for tour managers in reference to comp requests, ticket sales totals, press issues.
