Administrative Assistant I, Biochemistry

Buffalo, New York ~ November 15, 2021

We seek a strongly motivated individual to assist the Hunter James Kelly Research Institute with the organization and management of its general administration and support of the institute faculty and staff, as well as the administrative and laboratory staff. Thus, there is a need for the ability to work well in both team-oriented and self-directed environments; there is contact with all levels of the organization. 
Incumbents will work under general supervision following established practices and procedures and may direct or supervise other staff, such as interns, within the office. 
The job duties can vary widely from day to day. On any given day, there may be a variety of responsibilities, such as: 
  • Assist in planning meetings/reserving rooms, such as regular scientific presentations, annual institute retreat, vendor demonstrations, visiting scholars, potential candidates’ interviews. 
  • Create and maintain filing systems, both electronic and physical 
  • Prepare reports and documents, as requested by faculty or senior administrator 
  • Assist in managing various accounts and perform bookkeeping 
  • Create and respond to correspondence with University personnel as well as domestic and international vendors, researchers, students, interested lab applicants. 
  • Prepare requisitions, keep records of shipments, packing slips, prepare invoices for payment 
  • Organize and participate in staff searches; submit the job posting, process candidate actions, follow through hiring process. 
  • Process incoming employee’s personnel actions, immigration and building access documents 
  • Process requested immigration documentation, initiate and renew Visa requests as necessary for employees 
  • Answer phones and greet visitors 
  • Retrieve and distribute mail 
  • Pick up/deliver shipments to the loading dock 
  • Prepare used lab coats for laundry service, receive and arrange cleaned lab coats for general lab access 
  • Ability to work fully or partially remotely, as requested/needed
